Folks -
Per my e-mail, I would love to know your responses to the following questions / proposal for logistics for 4/26 (Saturday):
1. Are you okay with the proposal of meeting for dinner at 6 pm and starting the 2 hr drive for the retreat by 8 pm?
2. If you are flying / driving in to the DC area, can you commit to get there in time for the dinner get-together? Please inform me of your arrival details which I plan to put in a spreadsheet.
3. Do you prefer to rent van or carpooling for the drive from DC to WV?
4. Are you willing to volunteer to drive from DC to WV and if so, how many other people do you think your car can accommodate?

1. Yes. I have checked with Barb and we can do dinner at my place - we can pick up food from a local restaurant (I am not offering to cook!)

3. Carpooling to manage expenses and complexity - it will be good to bond in all different group sizes
4. Yes. I can borrow Barb's minivan, which means 5-6 people with little baggage or 4 people with lots of luggage.

Count me in for the pre-dinner. I get the sense the retreat really starts at that point.
I can offer to pickup a rental car/van and drive. My wife and I are down to one car at the moment (we lost the other one in an accident and haven't replaced it yet) so I can't offer the take our car. That may very well change by April. I'll let you know.

Flying in from SFO, I can take an early United flight and land at IAD at 3:56 PM on Saturday.
The departure time on Tuesday afternoon/evening is critical. Both Mandy and I have to head up to Petaluma early on Wednesday to get to the start of the Strozzi Somatic Bodywork class. The best flight, from that perspective, leaving on Tuesday afternoon looks to be on United, departing IAD at 5:19 PM. If it's a 2 hour drive from Berkeley Springs to IAD, and allowing for arrival 90 minutes before departure (margin for error), we'd need to leave the conference at 1:50 PM or so on Tuesday afternoon.
Will that work? Should we plan on renting a car so as not to constrain the rest of you?

I was waiting for Sartaj to answer but will chime in with my 2 cents.
Sounds like you should definitely take the 3:56 pm flight on Saturday. Renting a car would be necessary I guess.
In terms of departure on Tuesday, it would be a shame to have you guys leave sooner, but is there really an alternative? Do later flights from IAD cut it too fine? Would other airports in the area DCA (reagan national) and BWI(baltimore) have better alternatives? Although they would add about an hour to the commute, BWI probably more than DCA.

I spoke to Mandy on Monday and I think she has booked the flights for you all to be flying around 5 pm. We will manage the agenda in a way to accommodate your departure.
I do not think you should plan on renting a car yet. Once we have everyone's flight information, we can have Vikas/Cliff figure out the logistics. Perhaps one of the local members could drive you back to the airport at your departure time.
